Predomus operates a private client and team portal at portal.predomus.com to help us manage projects, time records, invoices, project notes, and day-to-day collaboration.

-Information We Keep

For clients, this may include company and contact information, company logos, projects, recorded hours, project notes, invoices, and payment records. For our team, we may keep profile information, assigned projects, recorded hours, profile photos, and documents related to their work with Predomus. We may also keep basic records related to invoice emails, such as when a message was sent or received and the email address involved.

-Portal Access and Shared Links

Clients with a portal account can access information related to their own projects, notes, invoices, and agreed time-record details. Some information may also be shared through private links. Invoice links allow clients to view an invoice without signing in. These links are unique and difficult to guess, and Predomus can disable them when needed. Project notes may also be shared through links intended to be forwarded to contractors, consultants, or others involved in a project. These pages may include comments, images or attachments, the author and date of the note, and the client company name or logo. Because these links are designed for ongoing project coordination, they may remain accessible after being shared. Anyone with the link may be able to open the page, so links should be shared only with people involved in the project. Shared note pages do not provide access to invoices, recorded hours, other projects, or additional client information.

-Files and Attachments

Project files, images, logos, and note attachments are stored privately. When a shared page displays one of these files, the system creates a temporary access link so the file can be viewed without making the original file publicly available.

-Writing Assistance

Our team may use Google’s Gemini service as a writing aid when preparing descriptions of work performed. Only the information needed for that task is sent, such as the draft description, assigned project names or numbers, and our work categories.

-Who Can Access Portal Information

Access depends on the user’s role. Predomus administration may access the information needed to operate the business. Team members can access the projects and records relevant to their work. Clients can access information related to their own projects. Anyone receiving a shared invoice or project-note link can see only the information available through that specific link.

-Service Providers

We use third-party services to operate and support the platform, including:

• Supabase for database, account, and file services
• Vercel for application hosting
• IONOS for email
• GitHub for source-code management
• Microsoft OneDrive for backup storage
• Google Gemini for limited writing assistance

Our GitHub source-code repository does not contain client project information.

How Long We Keep Information

-We retain business records such as project history, hours, invoices, payments, and related documentation for accounting, administrative, and project-reference purposes. Other operational information may be retained for as long as it remains reasonably useful to Predomus or the client relationship. Information may be updated or removed when it is no longer needed.
